Privacy Policy
This policy explains what personal information I collect when you use this website or contact me, why I collect it, how I look after it, and the rights you have over it. I have written it in plain English.
Who I am
This website, axiomwi.co.uk, is run by Axiom Warehouse Improvement Ltd ("AWI", "I", "me", "my"), a warehouse operations consultancy working with UK businesses. For UK GDPR and the Data Protection Act 2018, AWI is the data controller for personal information you give me.

What personal information I collect
I only collect information you choose to give me, plus basic technical data about how the site is used. I do not buy data, scrape data or collect information about you from third parties.
| Information | How I collect it |
|---|---|
| Contact details (name, email, phone, job title, company) | When you email me, use the booking form on this website, or speak to me at a visit or event |
| Information about your operation (site, stock, processes, challenges) | When you describe your warehouse or business in an enquiry, call or email, or share data during an engagement |
| Engagement records (quotes, contracts, invoices, reports I produce for you) | When you become a client |
| Email and message correspondence | When you email or message me |
| Technical data (IP address, browser, device, pages visited) | Standard server logs kept by the website host. This website does not use tracking or analytics cookies |
| Payment details | Payments are made by bank transfer. I do not store card details on this website |
During a client engagement I may see operational data such as stock records, SKU and location data, and system exports. I treat this as confidential. It is usually about products and processes rather than people, but if it includes personal data (for example, employee names on timesheets), I handle it under your instructions and a written agreement where needed.
Why I use it, and my lawful basis
UK GDPR says I need a lawful reason to use your information. These are the ones I rely on.
| What I do | Lawful basis |
|---|---|
| Reply to your enquiry, prepare a quote, arrange a visit | Legitimate interests: running my business and giving you a reply. I may also be taking steps at your request before a contract |
| Deliver a service, send reports, schedule work, invoice you | Performance of a contract |
| Keep invoices, contracts and accounting records | Legal obligation (UK tax and company law) |
| Send you news or marketing emails | Consent. I will only do this if you ask me to, and you can withdraw at any time |
| Contact a business about its warehouse operation (business-to-business outreach) | Legitimate interests. You can ask me to stop at any time and I will |
| Protect the site and my systems | Legitimate interests |
I do not use your information for automated decision-making or profiling.
Who I share it with
I do not sell or rent your personal information. I share it only with service providers that help me run the business, and only as far as needed.
| Provider | Used for |
|---|---|
| Netlify | Hosting this website and receiving the booking form |
| Google Workspace | Sending and receiving email |
| Sage | Invoicing and company accounts |
I may also have to disclose information if the law requires it, for example to HMRC, a court or the Information Commissioner's Office (ICO).
International transfers
Some providers above are based outside the UK, or store data there. Where that happens, I rely on a recognised safeguard under UK GDPR, such as an adequacy decision, the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
How long I keep it
| Information | Kept for |
|---|---|
| Enquiries that do not become a contract | 90 days from the last meaningful contact, then deleted |
| Client records (contracts, quotes, invoices, reports) | 6 years from the end of the engagement, for tax and accounting law |
| Client operational data supplied for analysis | Until the engagement ends, then returned or securely deleted within 90 days unless we agree otherwise in writing |
| Marketing consent records | Until you withdraw consent |
How I protect it
I use reputable providers, strong passwords and two-factor authentication on my email and devices, and I limit access to myself. No system is completely secure. If a breach put your rights at risk, I would tell you and the ICO within the 72 hours UK GDPR requires.
Your rights
You can email nk@axiomwi.co.uk to use any of these rights. I aim to reply within one month and do not charge, except in rare cases where requests are clearly excessive.
- Access: ask for a copy of the information I hold about you
- Rectification: ask me to correct anything inaccurate
- Erasure: ask me to delete your information, subject to records I must keep by law
- Restriction: ask me to limit how I use it
- Portability: ask for your information in a transferable format
- Objection: object to my use of your information, including for outreach
- Withdraw consent: where I rely on consent, you can withdraw it at any time
Complaints
Please contact me first so I can put things right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Children
My services are for UK businesses. I do not knowingly collect information from anyone under 18, and I will delete it if I find I have.
Cookies
This website does not use tracking or analytics cookies. It only remembers whether you chose the light or dark display, and that choice stays in your browser.

I may update this policy from time to time. The date at the top shows the latest change, and I will tell current clients about material changes.
